Four hours up the 15, for the shows worth the trip
Las Vegas is where many of our Los Angeles agency and corporate clients run their biggest week of the year, and the question we get is simple: bring the LA crew, or rent locally? Our answer is honest. For a single-day meeting, a local vendor is usually the better call. For a multi-day general session, a convention-week client event, a sales kickoff or an awards dinner that your agency is producing for a client it brought from Los Angeles, bringing the crew that already knows your show, your content and your brand is worth the delivery line, and the gear holds on site at 1.5x the day rate so one trip covers the run.
Las Vegas venues run on rules. The Convention Center and the Strip hotels' convention floors have dock windows, drayage, union labor for rigging and electrical, and strict load-in schedules during the big shows. We read the exhibitor kit or the hotel's production guide before we quote, build the labor lines in where the venue requires them, and itemize them so your client sees exactly what the city adds.
The build itself is the same as everywhere: Day 1 load-in, build, test patterns, audio sweep and your sign-off; overnight hold; Day 2 power-on, show, strike and load-out. You get a CAD/3D render of the stage, wall and PA in the venue with the quote, white-label crew on site, and one point of contact from the first truck to the last case.

Each venue type below changes the rigging, the labor lines and the load-in schedule. Tell us the room and the scope reflects it.
Check your venue- Las Vegas Convention CenterMarshalling yard, drayage through the show contractor, union rigging and electrical, and move-in windows set by the show. General-session stages with the full 23' x 13' wall, breakout rooms with smaller walls, labor itemized in the quote.
- Strip hotel convention centersThe Venetian, Mandalay Bay, Caesars Forum, Wynn, Aria and the MGM properties: enormous ballrooms with rigging points and house AV departments whose rules for outside production we work inside, including dock scheduling and union labor.
- Off-Strip and boutique venuesRed Rock, Resorts World, the Arts District warehouses and the Downtown venues: more flexible access, sometimes less house infrastructure, so we bring distribution and plan rigging from scratch.
- Showrooms, theaters & arenasProduct launches and award shows in house theaters with their own rigging plots and stagehand rules; the wall is sized to the proscenium and the quote carries the house labor.
- Pool decks, rooftops & outdoor activationsConvention-week brand activations on pool decks and rooftops: wind-rated structure, heat planning for the gear and the crew, generator or house power, and brightness set for desert sun or a night show.
Everything the show needs to run
Every turnkey scope ships as a complete system, not a parts list. Add or remove elements to fit the venue and the budget.
LED video wall
3.9mm pixel pitch, seamless tiles, up to 112 tiles for a wall of roughly 23' x 13'. Ground-stacked or flown, NovaStar processing, HDMI/SDI inputs. Smaller configurations such as 16' x 9' or 12' x 7' available.
Staging
Modular risers, 24' x 8' x 2' in the standard configuration (12 decks), reconfigurable to the room. Black skirting and steps included.
Line-array audio
Four line-array elements plus two 18" subs and a digital mixer, sized for keynotes, panels and full-room playback. Wireless lapel and handheld mics for presenters.

Run-of-show and calibration
A written load-in and show timeline before the build, and a full power-on, test-pattern and audio-sweep check before doors open on show day.

Delivery and transport to Las Vegas is quoted by distance from our Los Angeles warehouse, about four hours each way, and shown as its own line. On a 2-day or multi-day build it is a modest share of the scope because the truck goes once and the gear holds on site at 1.5x the day rate; crew travel and lodging are itemized too, so nothing is hidden in a bundled number. Convention-center drayage and union labor, where the venue requires them, are their own lines. Everything else in the itemized 2-day example applies unchanged.
From scope to strike, in four steps
Scope
Share the venue, dates, audience size and what the show needs. We reply within one business day with a scope and a quote.
Render & lock
We produce a CAD/3D render of the stage, wall and PA in your venue for your client deck. A 50% deposit locks the dates and reserves the inventory.
Build & calibrate
Day 1 load-in, build, test patterns, audio sweep and client sign-off. Day 2 power-on and full pre-show calibration before doors.
Show & strike
A1 and V1 run the show from the booth. When the last guest leaves, we strike, load out and leave the room the way we found it.
Questions Las Vegas producers ask before they book
Why bring a crew from Los Angeles to Las Vegas?
For a one-day meeting, don't; a local vendor will serve you better and we'll say so. For a multi-day general session, a convention-week client event or a program your agency is producing for a client from LA, you get the crew that already knows your show and your brand, owned gear instead of cross-rented, and one quote. The delivery line is a modest share of a scope at that size.
Do you work inside the Convention Center and Strip hotel labor rules?
Yes. We read the exhibitor kit or the hotel's production guide, schedule the build inside the dock and move-in windows, use union rigging and electrical where the venue requires it, and itemize those lines so your client sees exactly what the city adds.
How does the overnight hold work on a multi-day Las Vegas show?
The gear stays installed for the run at 1.5x the day rate, not billed per day. Labor is per shift for each day the technicians are on site. Overnight security responsibility is written into the agreement, as it is everywhere we work.
Do you work under our agency's brand on site?
Yes. Our crew works white-label under your brand, and the CAD/3D render of the build in the venue is yours to drop into the client proposal before anyone signs.
What about heat on a pool deck or rooftop activation?
Outdoor desert builds get a site check: wind loading on the wall structure, heat management for the gear and the crew, generator or house power, cable runs and the sun angle during the session. We plan around all of it in the scope.
How is a 2-day Las Vegas build priced?
Gear at 1.5x the day rate for the overnight hold, technician labor per shift, delivery and crew travel quoted by distance, plus any venue-driven labor lines. Typical 2-day builds land $12,500–$16,500 before the travel and venue lines.
